LPI Solutions
Effective date: September 9, 2026

Plain Language Summary

LPI Solutions uses personal information to respond to inquiries, prepare quotes and contracts, deliver projects, maintain business records and, only with consent, record and transcribe selected calls using PLAUD NOTE.

The website does not accept payments. LPI Solutions does not sell personal information or use it for behavioural advertising.

1. Scope and Accountability

This Privacy Policy explains how LPI Solutions, an Ontario sole proprietorship owned and operated by Pavlo Lozhchenko, collects, uses, discloses, safeguards, retains and provides access to personal information in connection with lpisolutions.ca, inquiries, quotations, contracts, project work and customer communications.

LPI Solutions is accountable for personal information under its control and has designated Pavlo Lozhchenko as Owner and Privacy Officer.

This Policy is intended to reflect the principles of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable requirements.

2. Personal Information We Collect

We collect only information reasonably required for the purposes described in this Policy. Depending on how you interact with us, this may include:

Contact and inquiry information: Your name, email address, telephone number, preferred method of contact and the content of your inquiry.

Project information: Project location or city, requested service, approximate dimensions or project size, existing surface, surface condition, preferred finish, budget or pricing information you choose to provide, preferred timeline, access or scheduling restrictions and other project details.

Project images and files: Photographs, videos, measurements, plans, drawings, sample references and other documents you send for assessment, quotation, contracting or project administration.

Communications: Emails, text messages, WhatsApp messages, social-media messages, notes from calls or meetings and, where you consent, audio recordings, transcripts and AI-generated summaries of selected calls or project discussions.

Customer and transaction records: Estimates, quotes, contracts, change orders, invoices, payment status, payment confirmations and records reasonably required for accounting, tax, insurance, post-project contractual obligations, dispute-resolution and legal purposes. We do not require payment-card details through this website.

Website and technical information: IP address, browser type, device information, referring pages, pages visited, approximate location derived from technical data, cookie preferences and security or activity information collected through Squarespace Analytics, Google reCAPTCHA and related website functions.

Please do not send government identification numbers, financial account credentials, complete payment-card information, health information or other sensitive information unless we specifically request it and provide an appropriate method.

3. How We Use Personal Information

We use personal information for identified and reasonable business purposes, including to:

  • respond to inquiries and communicate about requested services;

  • review project feasibility, surface condition, scope, scheduling and service area;

  • prepare and administer estimates, quotations, contracts, change orders, invoices and project records;

  • schedule consultations, site assessments, sample reviews and project work;

  • document customer instructions, requirements, approvals and follow-up items;

  • provide services, maintain business and tax records, administer insurance matters and resolve questions or disputes;

  • protect the website, forms, communications, customers and business from spam, fraud, misuse and security threats;

  • understand website use and improve our website and services using aggregated or limited analytics;

  • comply with legal, regulatory, tax, insurance, contractual and professional obligations.

We do not sell, rent or trade personal information.

We do not use customer information for behavioural advertising, voice authentication or automated decisions that produce legal or similarly significant effects.

4. Consent and Choices

We seek consent that is meaningful in the circumstances. Consent may be provided through a form checkbox, by email or message, verbally or through conduct where the purpose is clear and the law permits implied consent.

The consent used to submit a service inquiry is limited to handling and responding to that inquiry and related business administration.

Consent to receive marketing messages, if ever requested, will be separate and optional.

You may decline optional collection or withdraw consent for future use, subject to reasonable notice and applicable legal, contractual, tax, insurance, record-keeping and dispute-resolution requirements.

Withdrawal does not invalidate prior lawful processing and may limit our ability to provide a requested service.

5. Call Recordings and PLAUD NOTE

LPI Solutions may use PLAUD NOTE, an audio-recording and AI-assisted transcription service provided by Plaud Inc., to accurately document selected customer calls or project discussions.

Before recording begins, we will tell you that the conversation may be recorded and transcribed, explain the purpose, identify the use of PLAUD and ask for your consent.

If you do not consent, we will not record the conversation and will use written notes or another reasonable method instead.

A recording may capture your voice, the content of the discussion, project details and incidental information you choose to provide.

We use recordings, transcripts and summaries only to:

  • document project requirements;

  • prepare quotations and project notes;

  • confirm customer instructions and follow-up items;

  • support scheduling and scope administration;

  • help resolve discrepancies.

Recordings and transcripts are not used for advertising, profiling, voice authentication or automated decisions about customers.

LPI Solutions does not authorize customer content to be used for AI-model training.

Recordings are initially stored on the PLAUD device and associated app. When transcription or summarization is requested, the audio or text is transmitted to Plaud Inc. and its authorized cloud or AI service providers for processing and may be processed outside Canada.

If Private Cloud Sync is enabled, recordings, transcripts and summaries may also be stored in PLAUD’s cloud environment until deleted by LPI Solutions. Provider practices, processing locations and account settings may change.

LPI Solutions retains recordings, transcripts and summaries only while reasonably required for the stated purposes or applicable legal, contractual, insurance or dispute-related requirements and deletes them when they are no longer required.

You may request access to a recording or transcript, subject to applicable law and the privacy rights of other individuals.

6. Service Providers and Disclosures

Depending on the interaction, service providers may include:

  • Squarespace, Inc. for website hosting, forms, form submissions, analytics and site administration;

Where LPI Solutions transfers personal information to a service provider for processing on its behalf, LPI Solutions uses contractual or other reasonable means to require protection appropriate to the sensitivity of the information.

LPI Solutions remains responsible for personal information under its control.

We may also disclose information where reasonably necessary to:

  • cooperate with lawful authorities;

  • establish, exercise or defend legal rights;

7. Cookies and Similar Technologies

The website uses essential cookies and similar technologies required for security, form operation, session management and core website functions.

Squarespace Analytics and related features may use analytics cookies or similar technologies to understand website use. Google reCAPTCHA may collect technical and interaction information to detect spam and abuse.

Where the cookie banner is displayed, visitors can use Accept All, Decline All, Manage Cookies or Cookie Preferences to control non-essential cookies.

Essential cookies cannot always be disabled because the website may not function correctly without them. Browser settings may also be used to control cookies, although doing so can affect website functions.

LPI Solutions does not currently use paid behavioural advertising on the website.

We will review and update this Policy and the cookie settings before adding advertising pixels, new analytics tools or other integrations that materially change cookie use.

8. Website Payments

LPI Solutions does not sell products or accept payments through lpisolutions.ca.

Quotes, contracts, invoices, signatures and payment arrangements are handled separately through direct communications and third-party business services such as QuickBooks Online or DocuSign, as applicable.

If you choose to use a third-party invoice or payment service, that provider may collect payment or financial information under its own privacy terms.

LPI Solutions does not collect or store complete payment-card information through this website.

9. Processing Outside Canada

Some service providers—including Squarespace, Google, Meta, Intuit, DocuSign, Plaud, cloud providers, and other companies they engage to process information—may process or store information outside Canada, including in the United States.

Information processed in another jurisdiction may be accessible to courts, law-enforcement authorities or regulators under that jurisdiction’s laws.

LPI Solutions uses service providers for legitimate business purposes and applies reasonable contractual, technical and organizational measures appropriate to the sensitivity of the information.

You may contact the Privacy Officer for information about relevant service providers or cross-border processing.

10. Safeguards and Privacy Breaches

We use reasonable physical, administrative and technical safeguards appropriate to the sensitivity, amount, format and use of personal information.

These safeguards may include:

  • access controls;

  • passwords and account security;

  • device protections;

  • secure service providers;

  • limited access;

  • reasonable disposal practices.

No method of electronic transmission or storage is completely secure.

If a breach of security safeguards occurs, LPI Solutions will assess the circumstances and comply with applicable PIPEDA obligations, including keeping required breach records and, where the breach creates a real risk of significant harm, reporting it to the Office of the Privacy Commissioner of Canada and notifying affected individuals as required.

LPI Solutions maintains a record of every breach of security safeguards involving personal information under its control for at least two years, whether or not the breach is reportable to the Office of the Privacy Commissioner of Canada.

11. Retention and Disposal

Inquiry, communication, project, contract, invoice, recording, transcript and related records are retained only as long as reasonably necessary to:

  • respond to an inquiry;

  • prepare or administer a quotation or project;

  • maintain business records;

  • manage post-project contractual obligations or insurance matters;

  • resolve disputes;

  • meet legal, tax, accounting, contractual or regulatory requirements.

Retention periods vary by record type and circumstances.

When information is no longer required, we take reasonable steps to securely delete, destroy or anonymize it, subject to backup cycles, provider processes and legal holds.

12. Access, Correction, Withdrawal and Complaints

You may submit a written request by email or mail to the Privacy Officer to:

  • learn whether LPI Solutions holds personal information about you;

  • obtain access to that information and an account of how it has been used or disclosed;

  • request correction of inaccurate or incomplete information;

  • withdraw consent for future optional uses; or

  • make a complaint about our privacy practices.

We may request information reasonably necessary to verify your identity and locate the requested records. Information collected for identity verification will be used only for that purpose.

LPI Solutions will respond with due diligence and no later than 30 days after receiving a written request, unless an extension permitted by PIPEDA applies. If an extension is required, we will provide written notice explaining the reason, the new response date and the right to complain to the Office of the Privacy Commissioner of Canada.

Access to personal information will generally be provided at little or no cost. If a fee is permitted and required, we will provide an estimate before proceeding.

Access may be limited or refused only where permitted or required by law, including where disclosure would reveal another person’s personal information or legally privileged information. Any refusal will be provided in writing with reasons and available recourse.

Where a correction request is justified, we will amend the information as appropriate and, where necessary, notify relevant third parties. If a disagreement cannot be resolved, we will record the unresolved challenge where required.

Please first contact the Privacy Officer using the details below. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca/.

13. Marketing Communications

Submitting an inquiry does not subscribe you to marketing.

If LPI Solutions later offers promotional email or text messages, we will request separate consent where required and provide a working unsubscribe method.

14. Third-Party Websites and Social Media

The website may link to third-party websites or services. Their privacy practices are governed by their own policies.

Communications through WhatsApp, Facebook, Instagram, QuickBooks Online, DocuSign or another third-party service are also subject to that provider’s terms and privacy practices.

15. Changes to This Policy

We may update this Policy when our practices, service providers, technology or legal requirements change.

The updated version will be posted on https://www.lpisolutions.ca/privacy-policy with a revised effective date.

If a change materially affects how we use information already collected, we will provide additional notice or seek consent where required.
